The West Events Checklist

  1. Tour the Venue for our staff to answer last minute questions.

  2. Sign the online proposal/contract.

  3. Pay your 1st deposit. You can arrange to meet our staff at the venue or send to our mailing address:

  4. Sign the hard copy contract and submit to TWE with your 1st deposit.

  5. Book your event planner/day of coordinator off our preferred list (required by venue).

  6. Schedule tour with your planner to talk about your vision.

  7. Review our preferred vendor list- a $250 fee is charged to book anyone off our preferred list

    (Fee does not include photographers, videographer, or hair & makeup).

  8. Do not gather quotes or sign any contracts with vendors prior to venue approval. All vendors must complete our vendor application form and show proof of license and insurance.

  9. Call Cortney @ CB Lundy’s to secure your bar package and pay deposit.

    (Pick from a Cash Bar, Beer/Wine, Call or Premium Bar Packages- add on your Signature Cocktails).

  10. Pay for your event/wedding insurance-

    https://www.wedsafe.com or https://www.privateeventinsurance.com for your security & safety.

  11. Final deposits due 90 days prior to event (3 months).

    (including final 50% deposit and the $500 refundable deposit)

  12. Vendor Forms and approval must be completed 60 days before your event for any vendors not already on our preferred list.

  13. Schedule rehearsal/walk through (rehearsal will be booked based on availability within 72 hours of the event). 2 Hours Max- Rehearsal Fee $100

  14. Finalize valet services up to 60 days before event.

  15. Work with event planner to ensure timeline and floor layout is confirmed.
