TWE Venue Manager Roles and Responsibilities
The primary responsibility of the Venue Manager is to oversee daily tasks which may include the following:
❖ Qualify event leads that come in through WeddingWire, The Knot, Wedding Spot, Here Comes the Guide, as well as all direct leads that come in directly from our website.
❖ Setting up venue site visits.
❖ Conduct site visits and follow through post tours (setting tasks to follow up with quotes and
helping clients with ‘easy button’). Both weekday and weekend tours will be required to work
with potential clients/couples schedule.
❖ Set up meetings with vendors in order to further those relationships.
❖ Help facilitate monthly open houses to further the venue's awareness of the Tampa Bay area and
beyond.
❖ Help set up and manage styled shoots.
❖ Attending networking events on behalf of The West Events to help bring in more business in
areas of opportunity (corporate, jewish temples/mitzvahs, churches, networking groups such as
Working Women of Tampa Bay, MMTB, Chamber of Commerces, etc).
❖ Work events when needed. Venue Manager may be required to work weekends at times if we
are unable to find an event manager.
❖ Set tasks upon booking clients for follow ups, payment, and to ensure clients are on schedule in
picking vendors.
❖ Set up for Rehearsals, Weddings, Special Events when needed - Job will require some manual
labor such as but not limited to setting up tables, chairs, high tops, cleaning bathrooms (light cleaning), replacing toilet paper, paper towel, sweeping when needed between commercial cleaning.
❖ Make warm calls to leads that have inquired. Cold calls to bring in more business to TWE.
❖ Help bring more business to the venue by converting leads.
❖ Consistently meet and exceed monthly goals as well as daily activity expectations
❖ Be persistent - consistently follow up with potential clients to negotiate contracts and close
agreements to maximize profits.
❖ Assists in developing working relationships with outside vendors and establishing prices and
service agreements to enhance the event experience and to increase revenue (working to set
exclusive vendors to help with venue profitability).
❖ Create opportunities to upsell during the booking process
❖ Track notes on all interactions and keep opportunities in your pipeline up to date in
Tripleseat.
❖ Coordinate with vendors such as bar, valet, catering, & cleaning service.
❖ Sell add ons, especially within the 30 days prior to the event date.
❖ Work from home may be permitted with advanced notice if sales goals are met each month.
❖ Venue manager will work to get the lead into the venue for a site visit as soon as possible in
order to book.
